5 Essentials of Large Group Facilitation

Just wrapped up another large-group workshop with 32 key players from an international company.
And once again, I was reminded:
👉 It’s surprisingly easy to increase complexity — while draining energy at the same time.
Here are a few common traps:
– No guiding coalition to host, organize & facilitate the workshop
– Unclear outcomes (“Why are we even here?”)
– An agenda without a clear link to expected outcomes
– Too much plenary, too little interaction
– Endless discussions, presentations, and ideas
– Lots of input… but no real convergence or commitment
– No feedback loops to sense how things are going
I could add many more. But here’s the point:
👉 If we want to reduce complexity, we need to create focus.
So instead of a long list of do’s and don’ts, I’m limiting my “recipe” for large-group facilitation to just five essentials:
1️⃣ Find at least one committed sponsor who actively hosts the event — and at least two colleagues to organize and facilitate
2️⃣ Help the sponsor(s) define measurable outcomes to answer the core question: “Why this event?”
3️⃣ Co-create an agenda that supports achieving these outcomes
4️⃣ Set clear boundaries for managing time and scope — and work toward SMART agreements
5️⃣ Foster interaction through a balanced mix of formats: different settings (chairs, tables, standing, outdoor), small groups and plenary, varied group compositions, and enough space for informal networking (and yes — some fun, too ;-))
